A passport courier service is not one service. Whether a courier will carry your passport depends on three things: where it is going, which carrier service is used, and why it is being sent. Within India, an existing passport can usually be sent through a carrier’s critical-document service, with tracking and proof of delivery. Across an international border, the rules are much tighter, and most express carriers will only accept a passport shipment through an embassy, consulate or authorised channel. And if you are waiting for a new or renewed Indian passport, no courier booking is needed at all; it will come to you by Speed Post.
So before you pack anything or pay anyone, do one thing: confirm that the courier accepts your specific passport shipment on your specific route. This guide explains what to confirm, what to have ready, how to pack and track the shipment, and what it is likely to cost.
Not sure which category your shipment falls into? Tell us the origin, destination and purpose, and we will confirm whether it can be booked before you prepare the parcel.

What people mean by “passport courier service”
When customers in Chennai ask us for a passport courier, they usually need one of three different things.
- Sending an existing passport to another address in India. A parent forwarding a passport to a son in Bengaluru, a traveller sending it to a visa agent in Delhi, a family member returning it after an attestation. This is a domestic document shipment, and it is the one most couriers can help with.
- Sending a passport abroad, or receiving one from abroad. For example, a relative overseas wants their Indian passport sent to them, or you want to send yours to someone outside India. This is restricted, and it is where most online advice goes wrong.
- Receiving a passport that is already in an official process. A newly issued or renewed Indian passport, or a passport being returned after a visa application. These are dispatched by the government or the visa centre, not by a courier you book yourself.
The rest of this article takes each in turn.
Sending an existing passport within India
An original passport can be couriered between two Indian addresses, but not through every service. Ordinary document pouches are built for papers that can be reprinted; a passport cannot be, so carriers that accept it do so under a specific product with its own handling, packaging and charges.
The clearest published example is Blue Dart’s Critical Express, listed under its Domestic Priority service. Blue Dart describes it as a door-to-door express service for critical shipments such as passports, tenders and original certificates, available to retail customers on Domestic Priority pin codes, with a special security flyer and real-time tracking. You can read the current terms on Blue Dart’s Domestic Priority page. Two points matter for you as a sender: bookings for this product are made through the carrier’s customer service rather than a drop-in counter, and the service is day-definite, not time-guaranteed.
India Post Speed Post is the other route many people use for passports within India, because it is the channel the government itself uses to deliver new passports. It is tracked and signed for, though it does not offer a passport-specific handling product.
The practical point: a Chennai courier like Galaxy does not carry your passport in its own van to Mumbai. We book it onto a partner carrier’s network. So when you ask us to send a passport within India, what we confirm before accepting it is:
- which partner service will carry it and that the service accepts passports,
- that both the pickup and delivery pin codes are covered by that service,
- the delivery estimate for your route, and
- the charges, including any critical-document handling fee the carrier applies.
If any of those cannot be confirmed, we will tell you so rather than book it as an ordinary document.
Sending a passport abroad, or receiving one from abroad
This is the question we are asked most often by families with relatives overseas, and the honest answer is that it is usually not something a private individual can book.
Express carriers publish country-specific rules for passports. DHL Express, for instance, states in its passport shipping guidance that in India, passports may only be shipped by an embassy, consulate or an officially authorised representative; that India requires a passport to be declared as a package rather than a document; and that only one passport is allowed per waybill. Forum threads are full of people who were refused at the counter, or whose shipment was held, because they tried to send an Indian passport across a border as a normal document.
What this means in practice:
Sending an Indian passport out of India
Sending an Indian passport out of India to an individual abroad is generally not accepted by express carriers for private senders. If a relative abroad needs their passport, the usual options are for them to approach the Indian mission in that country, or for someone travelling to carry it in person with a letter of authorisation. We cannot promise a route that the carrier will not accept.
Receiving a passport from abroad into India
Receiving a passport from abroad into India depends on the sending country’s rules, the carrier and the purpose. Some embassies and visa centres arrange this through their own contracted courier. A private shipment should not be attempted until the carrier at the origin has confirmed acceptance in writing.
Visa processing abroad
Visa processing abroad, including “dropbox” submissions, has its own rules on whether the applicant must be in the country. A courier cannot change those rules.
If your need is to send other important documents overseas, such as degree certificates, attested papers, contracts or passport copies, that is routine international document shipping and we handle it daily from Chennai. Our overseas courier service in Chennai page covers destinations, pickup and how booking works. If the shipment contains an original passport, ask us first and we will check the carrier’s current position for that route before you prepare anything.
New passport, renewal or visa return: you do not book a courier
Two situations bring people to this page who do not need a courier at all.
New or renewed Indian passport
A new or renewed Indian passport is printed and dispatched by the passport office through India Post Speed Post to the address on your application. Once it is dispatched, the Passport Seva portal shows a 13-digit Speed Post consignment number, which you track on India Post’s website. Collection from the passport office is not offered, and a private courier cannot speed up, redirect or substitute that dispatch. The official process is described on the Passport Seva portal.
Passport returned after a visa application
A passport submitted for a visa is usually returned either for collection at the application centre or through the centre’s own courier arrangement. VFS Global, which runs application centres for many countries, offers a passport and document courier service that you opt into when you submit. The terms vary by country and centre. You do not book a separate courier for this.
If your passport is in one of these pipelines, the right contact is the Regional Passport Office or the visa centre, not a courier company.
How to confirm a courier accepts your passport
Five questions settle it. Ask them of any courier, including us.
- Which carrier service will carry it, and does that service list passports as accepted? “We send documents” is not an answer; the product name is.
- Is my route covered by that service? Critical-document products are limited to certain pin codes. Both ends must be serviceable.
- Is this domestic or international? If international, ask the courier to confirm acceptance with the carrier in writing before you hand it over.
- What happens if it is lost or delayed? Get the carrier’s liability terms and claims process. Do not assume insurance is included.
- What will I receive? A tracking number at booking and proof of delivery with the receiver’s name and time at the end.
If you get clear answers to all five, you can book with confidence. If the courier hesitates on the first or third, do not proceed.
What to have ready when you ask for a quote
A quote for a passport shipment is quick when we have these details:
- Pickup address and delivery address, with pin codes.
- Whether the destination is within India or overseas.
- Whether the envelope will contain an original passport, copies only, or a passport along with other papers.
- Whether the shipment is connected to a visa application or an official passport process (so we can tell you if a courier is the wrong channel).
- When it needs to arrive.
- The receiver’s name and a working phone number for the delivery attempt.
- Any declaration or ID the carrier asks the sender to provide at booking.
What not to share. Do not type your passport number, date of birth or a scan of the data page into a website comment, a social-media message or an enquiry form. A courier does not need the passport number to quote. If a carrier requires identity details at booking, provide them in person or through the channel the carrier itself specifies, and only what is actually asked for.
Packing and handing over the passport
Pack only once acceptance is confirmed. Then keep it simple.

- Place the passport in a clean document sleeve so the cover and pages cannot bend or get damp.
- Use the envelope or security flyer the carrier supplies for its critical-document service. If the carrier supplies its own tamper-evident flyer, use that; do not add your own stickers or tape unless asked.
- Hand the envelope over open if the carrier requires contents to be verified at pickup, which is standard for critical shipments. Our pickup staff will tell you in advance.
- Check that the label carries the exact receiver name and phone number you confirmed, and that your own name and number are on it as the sender.
- Keep the receipt and the tracking number. Note the date, the carrier and the waybill number somewhere you will find again.
No packaging makes a shipment safe on its own. What keeps a passport safe is a carrier product that is built for it, a correct label and a receiver who is reachable.
Tracking, delivery estimates and proof of delivery

Every passport shipment we book carries a carrier tracking number, and you can follow it on the carrier’s site from pickup to delivery. For a domestic critical-document service, expect scans at pickup, at the origin hub, at the destination hub, out for delivery and delivered. Proof of delivery with the receiver’s name and the delivery time is available on request from the carrier after delivery.
Delivery estimates
Delivery estimates depend on the lane. Metro-to-metro routes on an air service are typically next working day or the day after; smaller towns take longer. The estimate we give you at booking is the carrier’s published transit time for that pin code pair, not a guarantee, and it does not include the day of pickup if the cut-off has passed.
If tracking stops or delivery fails
If tracking stops moving for more than a day, call us with the waybill number; we raise it with the carrier. If a delivery attempt fails because the receiver was unreachable, the carrier will usually reattempt once before holding the shipment, so make sure the receiver knows it is coming.
What a passport courier costs
There is no single rate. The charge for a passport shipment is the carrier’s document rate for the route plus any critical-document handling fee that service applies, and it moves with:
- the pickup and delivery pin codes,
- the service chosen (day-definite air versus standard),
- the weight, which for a single passport is the minimum slab,
- whether doorstep pickup is included, and
- for international document shipments, the destination zone and the carrier.
We quote the total before booking, including the handling fee, so there is nothing extra at delivery. If a quote looks far below what a critical-document service normally costs, it is worth asking which service is actually being used.
Mistakes to avoid
- Booking a passport as an ordinary document. If the carrier later identifies the contents, the shipment can be held or returned.
- Sending a passport overseas on the assumption that “documents are allowed”. Check the carrier’s country rules first.
- Trying to courier a passport that is already with the passport office or a visa centre. Contact them instead.
- Sending it to an unattended address. Choose an address where a named adult can sign.
- Sharing the passport number in an enquiry message. It is not needed for a quote.
- Throwing away the receipt before delivery is confirmed.
Frequently asked questions
Can I send an existing passport by courier within India?
Yes, through a carrier service that explicitly accepts passports, such as a critical-document product, or through India Post Speed Post. Confirm the service and the pin-code coverage before booking.
Can an original passport be sent internationally by courier?
Usually not by a private sender. Carrier guidance for India says passports may only be shipped by an embassy, consulate or authorised representative. Ask the courier to confirm acceptance with the carrier for your route before you hand over the passport.
Is a passport courier service available in Chennai?
Yes. Galaxy International Couriers in Mylapore books domestic passport shipments onto partner carrier services that accept them, with doorstep pickup across Chennai. For international passport shipments we check eligibility for each route before accepting the booking.
How much does it cost to courier a passport?
It depends on the route, the service and the carrier’s handling fee for critical documents. A single passport is charged at the minimum weight slab. Ask for the total, including the handling fee, before you book.
How do I track a passport shipment?
Use the carrier tracking number you receive at booking on the carrier’s website. After delivery, proof of delivery with the receiver’s name is available from the carrier on request.
Does the Indian passport office send new passports by courier?
No. New and renewed passports are dispatched by India Post Speed Post. The Passport Seva portal shows the consignment number once it is dispatched, and you track it on India Post’s site. A private courier cannot replace or speed up this step.
What should I confirm before handing over my passport to a courier?
The carrier service name, that it accepts passports, that both pin codes are covered, the delivery estimate, the charges including any handling fee, the liability terms, and that you will receive a tracking number and proof of delivery.
Check your passport shipment with Galaxy
If you need to send a passport within India, or want to know whether a particular international shipment can be booked, send us the pickup and delivery locations, whether it is domestic or international, and when it needs to arrive. We will confirm the service, the coverage and the total charge before you prepare anything. Galaxy International Couriers has handled domestic and international shipments from Mylapore since 2015, and we would rather tell you a route is not possible than book it wrongly.
